Running your first meeting
A step-by-step walkthrough of a full meeting cycle — before, during, and after the call.

This article ties everything together. Before you start, make sure you've installed the desktop app and granted its permissions.
Before the call (optional but recommended)
A little setup makes the experience much richer:
- Upload a few resources. Add company documents to your knowledge base so MagicScreen can reference them during the call. See Building your knowledge base.
- Create a Note Template. Decide what your post-meeting notes should contain. See Creating Note Templates.
- Connect Google Calendar. This lets MagicScreen show your upcoming meetings. See Connecting Google Calendar.
💡 You can skip all of this and still get a live transcript and basic insights on your first call.
During the call
- Join your meeting as usual in Zoom, Google Meet, Microsoft Teams, or another supported app.
- MagicScreen detects the meeting automatically and begins recording and transcribing. You'll see the dock at the bottom of your screen showing a recording state. (If your meeting app isn't auto-detected, you can press the red record button on the dock to start manually — see Meeting detection and recording.)
- Open the panel by clicking Open on the dock to see the live meeting view: a running transcript, insights, and a chat box.
- Watch for insights and script suggestions — these appear as small notifications (toasts) near the top of your screen, even when the panel is closed.
- Ask questions any time by typing into the chat box ("Ask anything about this call…"). See Asking questions during a call.
💡 Screen sharing? Use the Hide notifications toggle on the dock so your insight notifications don't appear to other attendees.
Ending the call
When the meeting wraps up, click End Meeting in the panel (or simply leave the call). You'll be asked to confirm — "Recording stops and the meeting will move to your notes."
After the call
- Any Note Templates you attached generate their notes automatically. You'll find them on the meeting in the Meetings tab.
- The transcript and notes stay available for review and editing.
- If the meeting was linked to an account, its Living Notes update with what was discussed. See Living Notes.
